Quiet in Community — Privacy Policy

Last updated: 9/1/2026

Quiet in Community ("QIC," "we," "us") respects your privacy. This policy explains what personal information we collect when you register for or attend a gathering, why we collect it, and what rights you have over it — regardless of where in the world you're joining us from.

1. Who we are

Quiet in Community is an independent community based in the USA. For any privacy questions or requests, contact us at quietincommunityinfo(at)gmail.com

2. What we collect

Depending on how you interact with QIC, we may collect:

  • Your name and email address (when you register for a gathering or join our mailing list)

  • Information you voluntarily share with us (such as accessibility needs or accommodation requests)

  • Basic technical information when you join a Zoom gathering (such as your name as displayed, and, depending on your settings, IP address) — this is collected and processed by Zoom as described below

  • Payment information, if a gathering ever has a fee (processed by a third-party payment provider; we do not store card details ourselves)

We do not knowingly collect information from anyone under 18, as QIC gatherings are intended for adults.

3. Why we collect it

We use your information to:

  • Register you for and send you details about gatherings

  • Send occasional community updates, if you've opted in

  • Respond to accessibility or accommodation requests

  • Maintain the safety and integrity of our community (for example, if conduct issues arise)

We rely on your consent (for marketing emails), and on our legitimate interest in running a well-organized community (for registration and logistics), as the basis for this processing.

4. Who we share it with

We use a small number of third-party tools to run QIC, and your information may pass through them:

  • Zoom, for online gatherings — governed by Zoom's own privacy policy

  • Luma, for event registration

  • Luma & Mailchimp, for community updates

We do not sell your personal information to anyone, ever.

5. International participants

QIC welcomes participants from around the world. Because we're based in the United States, your information may be processed and stored here, which may have different data protection laws than your home country. If you're joining us from the EU, UK, or elsewhere with data protection laws like the GDPR, you still have the rights described in Section 7 below, and we handle your data with the same care regardless of where you're located.

6. How long we keep it

We keep registration and contact information for as long as you're an active part of the community, and for a reasonable period afterward in case you return. You can ask us to delete your information at any time (see Section 7).

7. Your rights

Wherever you're located, you can ask us to:

  • Tell you what information we hold about you

  • Correct inaccurate information

  • Delete your information

  • Stop sending you emails (every email includes an unsubscribe link)

To make any of these requests, email us at quietincommunityinfo(at)gmail.com. We'll respond as promptly as we can.

8. Security

We take reasonable steps to keep your information secure, including using reputable third-party platforms for registration, email, and video gatherings. No system is perfectly secure, but we don't take this lightly.

9. Changes to this policy

We may update this policy as QIC grows. If we make material changes, we'll note the updated date above and, where appropriate, let our community know.
